The short answer
For a paid StepRacers company challenge, budget €99/month for up to 25 racers, €249/month for up to 75, or €599/month for up to 200, plus VAT. You can pay for one month and cancel. Add any prizes and organizer time to get your full event budget.
The first pricing question is usually “How much per person?” The more useful question is “What will this particular challenge cost us?” A low monthly rate billed for a year, a one-off event fee, and a cancel-anytime subscription can produce very different totals.
Start with three numbers: expected participants, the paid time you need, and your optional reward budget. Here is how to turn them into a number you can take to your manager.
Compare the commitment, not just the headline price.
| Model | How the bill works | What to check |
|---|---|---|
| Free group app | No platform fee for the free features. | Does it support the team scoring and organizer workflow you need? |
| Monthly capacity tier | A recurring fee covers up to a participant limit. | The next tier above your headcount and the renewal date. |
| Per participant, per year | Seats are purchased for an annual period. | The total payable for the year, even if your event is short. |
| One-off challenge | A fee covers a defined event duration and participant allowance. | Extra users, additional weeks, reporting and setup services. |
StepRacers uses monthly capacity tiers for its self-serve company plans. Your team size determines the tier; running several races while subscribed does not add a separate per-race fee. For a simple free-group alternative or a different billing model, use our step challenge app comparison.
Put a number against your next challenge.
Use expected participants rather than your company’s entire headcount. If 50 people are likely to join a 200-person business, price the challenge for 50. Leave room for late sign-ups if your estimate is close to a plan limit.
Estimate your StepRacers budget
Paid company plans, priced by participant capacity. No email needed.
Company · up to 75 racers
€249 + VAT total
€249/month × 1 paid month. That is €4.98 per participant across this budget period if all 50 join.
Monthly subscriptions renew until canceled. This estimate assumes the same headcount tier throughout; it excludes tax, prizes and any separately agreed services. Allow for setup time when choosing your paid period.
What does it cost for 25, 50, 100 or 200 employees?
These examples assume everyone listed participates and the challenge fits inside one paid monthly period. They exclude VAT and optional event costs.
| Participants | Plan / capacity | One paid month | Cost per participant |
|---|---|---|---|
| 25 | Team / 25 | €99 | €3.96 |
| 50 | Company / 75 | €249 | €4.98 |
| 75 | Company / 75 | €249 | €3.32 |
| 100 | Multi-site / 200 | €599 | €5.99 |
| 200 | Multi-site / 200 | €599 | €3.00 |
A 50-person challenge costs €249, not half of the 100-person price. You pay for the tier that covers your group. At 50 participants that works out to €4.98 each; at 75, the same plan works out to €3.32 each.
The same principle matters at a boundary: 25 participants fit Team; 26 need Company. Above 200, ask for a tailored quote rather than multiplying the small-team price.
Know what you are buying.
Every paid self-serve StepRacers plan includes private races, team races with up to 10 teams, a web dashboard for the organizer, CSV roster upload and email invitations. Employees use the free iOS or Android app. You can run unlimited races while the subscription is active.
Optional prizes are your own event expense. If you need a branded leaderboard, managed onboarding or an end-of-challenge report, discuss the corporate service with us. Those requirements should be agreed in your quote, rather than assumed to come with a self-serve plan.
A Fitbit is not required. Before launch, test the actual phones and wearables your employees use with our step-sync guide. A short pilot is more useful than assuming every device combination behaves identically.
Running one challenge? Plan the paid period around it.
You do not need to stay subscribed all year. A simple sequence is:
- Test first. Use a free race with up to 10 people to check the employee experience.
- Choose your launch and finish dates. Include the setup time you need before employees start racing.
- Subscribe when you are ready. Check the paid-through date in your billing dashboard and keep the race inside that period.
- Cancel renewal if this is a one-off. Access continues until the end of the paid period. Cancellation does not end the race immediately.
A four-week event plus two weeks of paid preparation will not fit inside one monthly period. Budget another month or do your initial planning before subscribing. Subscriptions renew automatically until canceled; “one month is enough” only applies when your schedule actually fits.
The platform fee is only one line in the budget.
Total event budget = platform fees + applicable tax + optional rewards + organizer time + any agreed services.
For example, a 50-person StepRacers challenge in one paid month is €249 in platform fees. Add an illustrative €100 reward allowance and your cash budget becomes €349 before applicable tax. If you allow three organizer hours, track that time separately at your own internal rate. The reward allowance and hours are planning assumptions, not required purchases or a promise about setup effort.
Decide what success looks like before you approve rewards. A finish-line thank-you and team recognition may be enough for a first pilot. Spending more on prizes will not fix an unclear invitation or a difficult sign-up process.
Give your manager a decision they can make.
A useful approval request fits in a paragraph. State the audience, dates, full cost, owner and renewal decision. Here is an example you can adapt:
“I propose a two-week step challenge for 50 volunteers. The StepRacers platform budget is €249 for one paid month, plus applicable VAT. I’m requesting a separate €100 reward allowance. I’ll organize the pilot, invitations and final celebration, and cancel renewal before the next billing date unless we agree to continue. We’ll review how many people join, how many participate at the finish, and whether they want another race.”
Then attach the current plan details and use our launch guide to show how you will run it. A defined pilot gives the team something concrete to approve.
Common questions about challenge costs
Can we run a workplace step challenge for free?
Yes, if the free app’s features fit your event. StepRacers lets up to 10 people try a private race free, with no card or time limit. Its paid company plans add the organizer workflow and larger participant capacities. Other apps offer different free limits and features; compare the workflow as well as the price.
Are the displayed prices per person?
No. StepRacers self-serve prices are monthly fees for a participant-capacity tier. The per-participant figures in this guide divide that fee by the example headcount; they are not a separate per-seat billing rate.
Do we pay extra for another race that month?
Paid self-serve plans include unlimited races while subscribed, within the plan’s participant capacity. Ask us about your roster before buying if your proposed rollout needs more than 200 participants.
Do employees need to buy an app subscription?
No. Participants use the free StepRacers app on iOS or Android. The company pays for the company plan.
